Do you actually need a booking system?

Probably not. Off-the-shelf booking software is very good now, and it is cheaper than anything we could build you.

We build booking systems. We would still rather you spent £20 a month on software that already works than several thousand on something bespoke you did not need.

Figures below were checked on 12 August 2026. This guide is mostly about how to tell which situation you are in.

Start here: off-the-shelf covers most businesses

A good subscription tool handles roughly nine in ten cases. Published 2026 pricing puts most small businesses between about £20 and £160 a month, with entry plans from a few pounds and free tiers that cover low volumes:

  • Calendly from around $10 per user per month
  • Acuity from around $20 a month
  • SimplyBook.me paid plans from around €14 a month
  • Reservio free up to 40 bookings a month, paid from around €7.50
  • Mindbody from around $99 per location, for gyms and studios

If you take up to about twenty bookings a day and your process is ordinary, this is the right answer. Set it up on a Saturday, embed it in your site, and spend the money you saved on something that actually differentiates you.

The test for whether you are the exception

Custom starts to pay when one or more of these is true. One on its own is rarely enough:

  • Your booking rules do not fit the box. A barber booking one chair is easy. A clinic where certain appointments need two staff, a particular room and a forty-minute gap afterwards is not something most tools can express.
  • Volume is high enough that per-seat pricing hurts. Subscriptions priced per staff member add up. Across enough users and enough years, a one-off build can be cheaper. Do the arithmetic over three years before believing it.
  • Booking is your competitive advantage. If how customers book is part of why they choose you, renting that experience from a tool every competitor also uses is a strange decision.
  • It needs to talk to something you already run. Your own stock system, your accounting software, an internal dashboard. Integration is where off-the-shelf usually stops.
  • You have outgrown the data. You want to ask questions the tool cannot answer, and you cannot get at the underlying records to answer them yourself.

What custom actually costs

Here the published figures need separating, because two different things get called "a booking system".

A booking product, the kind of multi-tenant platform you would sell to other businesses, is a serious undertaking. Published 2026 estimates put a focused minimum version at roughly $25,000 to $60,000, and a full product with multiple staff, resources and a mobile app anywhere from $80,000 to $180,000. A custom system with payments and multi-staff management is commonly quoted at €10,000 to €25,000.

A booking system inside your own website, which is what almost everyone reading this actually wants, is a much smaller job. It books your services, for your staff, under your rules, and nobody else uses it. That is our Site + System band: £2,000 to £4,000, including the website around it.

If a quote for your own booking flow arrives at product prices, ask what is being built and for whom.

What a booking system has to get right

Whichever route you take, these are the things that cause trouble when they are missing:

  • It cannot double-book. Sounds obvious. It is the hard part, and it is where cheap builds fail, usually when two people book the same slot at once.
  • Deposits, if no-shows cost you money. Taking a card at booking is the single most effective change most appointment businesses can make.
  • Cancellation and rescheduling by the customer. Otherwise every change becomes a phone call, and you have moved the work rather than removed it.
  • Reminders. An automatic message the day before reduces no-shows more than almost anything else.
  • It works on a phone. Most bookings are made on one, often in the evening.
  • Your staff can override it. Real businesses have exceptions. A system nobody can bend gets abandoned.
